Why you received a letter

Robert Builds It helps new businesses automate their back office: answering the phone, capturing and following up leads, sending quotes and keeping on top of enquiries. We wrote to you because your company has just been registered and we think that may be useful to you.

Where we got your details

From the public register at Companies House. That is where we found your company, its registered office and its directors. We have not bought your details from anyone, and we did not collect them from you, which is why we are telling you now.

The register publishes a director’s name, month and year of birth, nationality, occupation and country of residence. We hold those as published. We used your name and your company’s registered office to address the letter.

What we hold and why

We hold your company’s name and number, its registered office and the kind of business it is, and for each director the details above. We use them to decide whether to send a letter about our services and to address it. We do not use them for anything else.

Our lawful basis under UK GDPR is legitimate interests (Article 6(1)(f)). Our interest is telling new businesses about a service that is relevant to them. We think a letter, sent by post to a company’s registered office, is a proportionate way to do that and is not unfair to you. You can object at any time, and when you do we stop.

Who else sees it. Our printing and posting supplier, Stannp, prints and posts the letter for us under contract. They receive your name and the address and nothing else. Our servers are run by a hosting provider under contract. We do not sell your details or share them with anyone else for marketing.

How long we keep it. We keep a record of the company and of the letter for as long as we need it to avoid writing to you twice and to show when and why we wrote. If you ask us to stop, we delete the details we held about you as a director, the company’s address and our copy of the letter, and keep only your company’s number and name, so that we do not write to it again. Nothing else about you is kept.

The law that applies

UK GDPR and the Data Protection Act 2018 cover how we use your details. Because we did not get them from you, Article 14 of UK GDPR requires us to tell you what is on this page.

The Privacy and Electronic Communications Regulations (PECR) cover marketing by email, text and phone. This was a letter, which PECR does not cover, and we have not contacted you by email, text or phone because of it. If you want those stopped too, use the second form below. You can also register with the Mailing Preference Service at mpsonline.org.uk to cut addressed mail from other companies.

Your rights

You can object to us using your details for marketing at any time, and we will stop. This right is absolute: we do not have to be persuaded. You can also ask to see what we hold about you, ask us to correct it, or ask us to delete it. Use the form above, email robert@robertbuildsit.com or ring 01423 227770. Each letter carries its own six-digit reference, which is why the form asks for it.

If you are unhappy with how we have handled your details, you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint.
